Introduction
Mintek has an exciting opportunity for a Technical Administrator who is expected to be able to conduct administrative duties unsupervised for managing stock levels of components for instruments, compiling tender packs for EPCMs (excludes the technical and commercial proposal), managing minor commercial projects (< R100k revenue), assisting with commercial related administration, and dealing with spares orders for instruments.
Job description
KEY PERFORMANCE INDICATORS:
- Administration: Assist CI’s with project administration
- Innovation: Operational: Improve workflows and/or processes
- Financial sustainability: Commercial proposal will be handled by commercial leaders; and Support CIs and commercial leaders in tracking expenses for projects
- Execution, People and Planning:
- Track stock levels in stores against orders received for instruments.
- Tracking of purchasing process
- Managing and Tracking client invoices
- Tracking of software/technology licenses from projects
- Order new stock items as required via supply chain, based on lead times from suppliers.
- Identify new suppliers
- Assist in authoring or gathering information for procurement motivations for approval by commercial leader or head
- Setup assembly projects for technicians under supervision from commercial leaders
- Track ETAs for instrument assembly and keep clients updated
- Assist suppliers or clients with registration and compliance issues
- Compile standard documents as required by tender packs, renaming and modify according to tender bid specification
- Assist with organising shipment and collection of instruments and spares.
- Handle basic spares enquiries directly with clients
- Assist CI’s with project administration
- Handling POs and invoicing
- Reconcile Invoicing with Projects and payments
- Follow up on payments from Vendors.
- Governance and risk management: ensure proper stock handling.
- Relationship management and reporting: reporting on stock levels, and orders received for instruments and spares, assembly progress of instruments to commercial leaders and heads.
Minimum requirements:
JOB KNOWLEDGE AND EXPERIENCE:
Technical Administrator
- Minimum of 5 to 10 years’ experience in related work
- Bachelor’s Degree in the appropriate field
- In depth knowledge, specific experience and expertise.
- Ideal:
- IFS/SAP
- Coupa Procurement Management System
- Ariba Procurement Management System
- Microsoft Office
- Basic Financial Management
- Logistics and/or manufacturing coordination experience.
Experienced In:
- Procurement in a PFMA environment
- Procurement in a technical environment
- Project financial monitoring and reporting
- Experience with order/Invoice cycle including on Coupa and Ariba
- Professional interaction with international clients
- Knowledge or experience with SHEQ systems
- Must be computer literate

QUALIFICATIONS
- Minimum: Bachelor’s Degree in Financial Management, Accounting, Office Administration, Logistics, or relevant
